The personal information handler for the Website and its enquiry form is Beijing Procen Intelligent Medical Technology Co., Ltd. (Room 822, Building 2, Yuanyang Leti Port, Tongzhou, Beijing). To follow up enquiries from South China, Guangzhou Procen Intelligent Medical Technology Co., Ltd. (Room 2418, No. 5 Dasonggang, Jiangnan Avenue Middle, Haizhu District, Guangzhou) may also process the information.

The Website is a company information site; you can browse it without an account. We only collect information when:

• You submit the enquiry form: enquiry type, name, organisation or company, email or WeChat ID, phone, department (clinical-trial enquiries only) and your message. Apart from providing at least one of email/WeChat ID or phone, every field is optional.
• You email us: your email address and the content of your message.
• You visit the Website: to keep it secure and working, our hosting and content-delivery provider automatically records necessary access logs — IP address, browser type, time of access and the page requested.

The Website does not use cookies for advertising or cross-site tracking and does not use third-party analytics. Your browser’s local storage only keeps the display theme (light/dark) and language you chose; this stays on your device and is never sent to us.

Please do not submit patient records, medical images or any other personal or sensitive personal information about patients through the Website. The Website is not used to process medical data; clinical trials and data collaborations are governed by separate agreements and the procedures the law requires.

We process your personal information only to:

• reply to your enquiry and arrange demos, clinical trials, business partnership or investment discussions;
• follow up as needed while you establish a business relationship with us;
• keep the Website and our services secure, and prevent fraud, spam and abuse;
• comply with legal obligations.

This processing is based on your consent and on necessity for entering into or performing a contract to which you are a party (PIPL Article 13). We do not use your personal information for automated decision-making and we never sell it. If we need to use it for any other purpose, we will ask for your consent again.

We engage the following providers to process the information needed to run the Website. They may only process it on our instructions, for the agreed purposes, and with appropriate security measures:

• FormSubmit (formsubmit.co) — relays your enquiry form to our company inbox;
• Cloudflare, Inc. (cloudflare.com) — website hosting, content delivery and security, which involves access logs;
• our company email provider — stores correspondence.

We do not otherwise provide your personal information to any third party, except with your separate consent; where required by law, litigation, arbitration or a competent authority; or where it must be transferred under a merger, division or dissolution — in which case we will tell you the recipient’s name and contact details and require it to keep honouring this policy.

Please note: FormSubmit, which relays the enquiry form, is located in the United States, and Cloudflare operates a global network, so access logs may be processed outside China. Information you submit through the form is therefore transferred outside the People’s Republic of China.

• Overseas recipients: FormSubmit (formsubmit.co); Cloudflare, Inc. (101 Townsend St, San Francisco, CA 94107, USA);
• Purpose and method: relaying the form content to us by email; hosting and protecting the Website;
• Information involved: everything you enter in the form, and necessary access logs;
• Exercising your rights: contact ranger@procenai.com and we will help you exercise the rights in Section 8 with the overseas recipients.

We ask for your separate consent to this transfer before you submit the form. If you do not consent, please do not submit it — email us directly at ranger@procenai.com instead.

We keep personal information only for as long as necessary for the purposes above: enquiry information for at most three years after the enquiry is closed and there is no further business contact; if you become a customer or partner, for the duration of that relationship and any period required by law. Afterwards we delete or anonymise it.

The Website is served entirely over HTTPS. Access to the inbox that receives enquiries is restricted to the staff who follow them up, who are trained in confidentiality and personal information protection. If a personal information security incident occurs, we will take remedial measures and notify you and the authorities as the law requires.

No internet service is perfectly secure. Please protect your own information and avoid including unnecessary sensitive details in your message.

Under the PIPL you have the right to:

• know about and decide on the processing of your personal information;
• access and obtain a copy of the personal information we hold about you;
• have inaccurate or incomplete information corrected or completed;
• have it deleted in the circumstances provided by law;
• withdraw your consent (this does not affect processing carried out before withdrawal);
• request its transfer to another handler you designate, where the conditions set by the Cyberspace Administration are met;
• ask us to explain our personal information processing rules.

To exercise any of these rights, email ranger@procenai.com. We may need to verify your identity first, and will respond within fifteen working days of verification.

The Website is intended for healthcare institutions, businesses and professionals, not minors. We do not knowingly collect personal information from children under 14; if we discover we have, we will delete it promptly.

We may update this policy as our services or the law change. The current version is always published on this page with its effective date. If a change materially affects the purposes, methods or types of personal information processed, we will highlight it and, where required, ask for your consent again.

This policy is published in Chinese and English. If the two versions differ, the Chinese version prevails.
